The Role

 

We have 5 office campuses across the state and this role will be based at our West Leederville Office, Newman Siena Centre or St Catherine’s Centre Doubleview.

 

We are in the process of establishing a pool of casual Administrative Assistants to provide flexible, on-demand support to Catholic Education Western Australia. This enables continuity during peak periods, staff absences, and project work, ensuring efficient delivery of administrative tasks.

 

 

The primary accountabilities for this role include but are not limited to:

  • Support organisational and system-wide initiatives aligned with CECWA’s Strategic Initiatives and commitment to Quality Catholic Education.
  • Provide high-quality administrative support to Team Leaders and staff across the organisation.
  • Provide cross-team administrative support as required.
  • Perform administrative tasks associated with professional development activities, meetings and events, including the processing of invoices where applicable.
  • Prepare and format documents including correspondence, reports and spreadsheets in line with organisational standards and formatting requirements.
  • Assist with financial administration including purchases, invoices and budget tracking.
  • Maintain and update databases, SharePoint sites and contact directories.
  • Undertake data entry and management of confidential information, including funding and other organisational records as required.
  • Assist with travel and accommodation arrangements and related enquiries.
  • Coordinate meetings, events and catering requirements.
  • Manage bookings for meeting rooms, equipment and vehicle hire.
  • Maintain office equipment and stationery supplies.
  • Provide digital and administrative support, including management of electronic calendars and shared mailboxes.
  • Prepare agendas and meeting documentation, including taking minutes and tracking action items as required.
  • Monitor and respond to general enquiries.
  • Undertake other duties as directed by Team Leaders and senior leadership.

  • A competitive salary: Level F on the CEWA salary scale [$81,203 – $87,553 per annum, full-time rate] plus superannuation. This role will pay at the casual hourly rate plus 25% loading.

A. ESSENTIAL:

1. Prepared to support the Catholic ethos in the performance of their duties.

2. Demonstrated experience in providing high quality administrative support.

3. High level interpersonal skills with the ability to exercise initiative and problem solve.

4. Strong organisational skills and attention to detail.

5. Advanced computer and digital skills (including MS Office).

6. Ability to maintain a high level of confidentiality.

7. Excellent written and verbal communication skills.

8. Proven ability to manage multiple tasks and priorities concurrently.

9. A flexible and adaptable approach to work, with a willingness to assist with various tasks as required.

10. A collaborative team member with a proven ability to work effectively both independently and within a team.
