Are you an organised and proactive professional with a passion for providing high-level administrative and coordination support in a fast-paced digital environment? Catholic Education Western Australia (CEWA) is seeking an IT Business Administrator to join our Digital Technology team.

As a vital support to the Chief Information Officer (CIO) and the broader Digital Technology leadership team, you will be instrumental in ensuring the seamless coordination of administrative functions, effective stakeholder engagement, and comprehensive project support. 

 

This is a full time ongoing role based in our West Leederville office.

About the role

  • Provide top-tier administrative support to help maintain smooth operations within the Digital Technology team.
  • Manage calendars, coordinate travel arrangements, and handle multiple competing priorities efficiently.
  • Keep the CIO well-informed of upcoming tasks and commitments.
  • Foster positive relationships and deliver exceptional service, advice, and information to internal and external stakeholders.
  • Proactively organise and coordinate meetings, events, conferences, and catering.
  • Draft, review, and manage correspondence to both internal and external parties.
  • Assist in preparing reports and presentations for the leadership team.
  • Oversee the onboarding and offboarding processes for contractors, ensuring compliance.
  • Collaborate with stakeholders on team-related financial activities such as invoices, quotes, credit card audits, contracts, and agreements.
  • Organise leadership meetings, including agenda preparation, minute-taking, and action follow-ups.
  • Coordinate team-building activities, training sessions, and professional development initiatives.
  • Handle sensitive and confidential communications with discretion and in a timely manner.

 

Key Skills and Experience

  • Willingness to support and promote the Catholic ethos in all aspects of work.
  • Proven experience in a Personal or Executive Assistant role.
  • Proficient with Microsoft SharePoint, Teams, and Forms.
  • Knowledge of accounts payable and reconciliation processes.
  • Demonstrated ability to provide high-quality customer service and a commitment to excellence.
  • Strong troubleshooting skills and problem-solving abilities.
  • Highly organised, efficient, and proactive with a strong work ethic.
  • Ability to prioritise and meet deadlines while handling multiple tasks.
  • Exceptional communication skills (both written and verbal) with the ability to liaise effectively with senior managers.
  • Attention to detail and a strong sense of accountability.
  • Ability to handle confidential matters with discretion and trust.
  • Comfortable working both independently and collaboratively as part of a team.
