Online Learning Project Coordinator

The Role

 

The role of Online Learning Project Coordinator belongs to the Digital Learning team in the Teaching and Learning directorate. We have 5 office campuses across the state and this role will be based at our West Leederville office.

This role leads the planning, implementation and evaluation of CEWA’s Online Learning Portfolio, ensuring high-quality, inclusive and innovative online education is delivered in alignment with CEWA’s strategic priorities and values.

 

This is a fixed term full-time position commencing January 2026 and concluding December 2027.

 

 

The primary accountabilities of the role include:

  • Support school and system initiatives aligned with CECWA’s Strategic Initiatives and Quality Catholic Education.
  • Support the Teaching and Learning Directorate strategic focus areas, including the Vision for Learning.
  • Coordinate the operational delivery of CEWA’s Online Learning Portfolio, ensuring activities are planned, sequenced and delivered in accordance with CEWA’s Project Management Framework and reporting requirements.
  • Establish and service project governance structures, including Steering Committees, Project Teams, and cross-directorate Working Parties, preparing agendas, reports and maintaining risk logs.
  • Develop and manage a consolidated delivery plan for Online School, Senior Secondary Specialisation (ViSN), and Virtual Specialisation (V/EALD), with clear milestones, dependencies, resourcing and budget tracking.
  • Lead stakeholder engagement and consultation with CEWA office teams, Principal Associations, Catholic School Parents WA and pilot schools to validate assumptions, define needs and build readiness.
  • Coordinate pilots and proofs-of-concept, such as expanded ViSN courses and targeted offerings, capturing outcomes, lessons learned and recommendations for scale-up.
  • In conjunction with the Psychology, Safety & Wellbeing Teams, design and document pastoral care and student support mechanisms suitable for online delivery, ensuring alignment with Registration Standards.
  • Support model definition and school hosting arrangements, preparing options analyses and implementation requirements for hosting by an existing CEWA school versus establishing a standalone virtual school.
  • Coordinate technology, platforms and integrations with Digital Technology and Business Development teams, ensuring usability, accessibility and security standards are met.
  • Embed evidence-informed practice and evaluation, defining success criteria, data capture and quality assurance processes for online learning and pilots; prepare evaluation summaries and recommendations.
  • Identify and manage project risks, issues and dependencies, maintaining registers and mitigation plans, and escalating appropriately through governance channels.
  • Develop budgets and resource plans for project team staffing and pilot activities; monitor expenditure and provide variance reporting.
  • Prepare high-quality documentation, including business case materials, executive papers, briefings and handbooks, to enable informed decision-making and compliance with CEWA processes.
  • Model CEWA values and collaborative ways of working, building capacity across schools and teams to adopt effective, ethical and responsible online pedagogies.
  • Other duties as required and directed by the Team Leader Digital Learning and Director Teaching and Learning.

Selection Criteria

 

A.        ESSENTIAL:

  1. Prepared to support the Catholic ethos in the performance of their duties.
  2. Demonstrated experience coordinating complex, multi-stakeholder projects in education or a related sector, including schedule, budget, risk and governance reporting within a recognised framework.
  3. Proven stakeholder engagement capability, with the ability to consult, influence and build consensus across schools, directorates and community partners.
  4. Strong knowledge of online or virtual learning delivery models, with the ability to translate strategy into operational plans and pilots.
  5. Understanding of pastoral care and Registration Standards considerations for online learning, and capacity to design appropriate student support mechanisms.
  6. Excellent written communication and documentation skills, producing executive papers, business cases and project artefacts to a high standard.
  7. Evidence-informed approach, able to define success criteria, collect and interpret data, and provide evaluation findings that inform decision-making.
  8. Collaborative working style aligned to CEWA’s Vision for Learning and Digital Transformation Strategy; ability to work effectively with office teams and schools.

 

B.        HIGHLY DESIRABLE:

  1. Experience with CEWA systems and processes, such as project governance, Learning Management Systems and AoS.
  2. Background in K–12 teaching, consultancy, or school leadership, with insight into contemporary digital pedagogies and capacity building.
  3. Formal project management training or certification (e.g., PRINCE2, PMBOK, Agile) or equivalent demonstrated capability.
  4. Experience designing or supporting hybrid or virtual schooling pilots, including course development, teacher induction, and professional learning.
